TouchstoneFMS completes rollout of Welcome Break’s Infor SunSystems Cloud and Proactis P2P finance upgrade

Welcome Break, one of the UK’s largest motorway service operators, has completed a major digital transformation project, upgrading its core financial management system to Infor SunSystems Cloud and implementing a complementary Proactis procure-to-pay (P2P) solution, with consultancy TouchstoneFMS overseeing the implementation.
The successful go-live marks a significant step for the business, which operates 61 service areas and 31 hotels across the country, hosting brands like Starbucks, KFC and Waitrose. The project was delivered through collaboration between Welcome Break’s internal Finance and IT teams and the three external partners, achieving a smooth transition with minimal operational disruption, full user adoption, complete data migration, and the implementation of a new, more flexible Chart of Accounts.

A Unified Platform for Efficiency and Control
The core of the upgrade lies in the native integration between the new finance system and the procurement software. Infor SunSystems Cloud, a cloud-native system built on Amazon Web Services, now serves as Welcome Break’s central financial ledger. It automates key processes from record-to-report and provides real-time data and analytics. This is directly linked to the Proactis P2P platform, which streamlines the entire purchasing lifecycle—from initial request and authorisation to ordering, invoice processing, and payment.
This integration creates a unified, end-to-end platform that connects procurement directly to the core financial system. The result is an automated flow of real-time data, breaking down silos between departments. For Welcome Break’s finance and procurement teams, this means unprecedented visibility and control over organisational spending, enabling smarter decision-making, enforcing policy compliance, and reducing manual errors and administrative costs.
Amy Hall, UK&I Head of Partnerships at Proactis, stated the integration “has equipped Welcome Break with a powerful, scalable platform that strengthens spend control, unlocks deeper insight.” Charlotta Bergenstjerna, Partner Manager at Infor SunSystems, added that the cloud system “provides the flexibility and scalability needed for organisations to adapt quickly.”
The implementation also underscores a renewed strategic partnership between TouchstoneFMS, the specialist consultancy, and Proactis. Welcome Break, which attracts over 85 million customers annually, is positioning the technology upgrade as a foundation for its continued growth. The company reported a turnover of £304.3m and a strong rise in profit before tax to £66.3m for 2024, and recently secured an £815 million refinancing package. With expansion plans underway—including the opening of its first new service area in 20 years in Rotherham and the rollout of more EV charging points—the scalable, cloud-based system is intended to support further progress, with the company eyeing 2026 as a year of continued innovation.
